Short, task-by-task guides for running your Proezi pages, and answers to the questions people ask most. Button and section names below match what you see in Proezi.

Getting started

Proezi is for the people who manage pages. Visitors never sign in.

  1. Open Sign in and choose “Continue with Google”. Owners and team members sign in with Google only — there is no separate Proezi password.
  2. Your first sign-in creates a workspace named after you, with you as its Owner. Places, payment pages, images and your team all live inside a workspace.
  3. You land on the Dashboard: one summary of everything the workspace shares — arrival places, payment pages, business identity, images, team and the last 7 days of visits.
  4. Use the main menu to move between Dashboard, Places, Images and Analytics. Depending on your role you also see Payments, Business, Team & Settings, Branding and Notifications.
  5. If you belong to more than one workspace, switch between them with the workspace switcher.
  6. “Your profile” in the account menu holds your display name, your freshness reminder preference and the account deletion request.

Create an arrival page

An arrival page takes a visitor from the map pin to the right parking, gate, entrance or room. The place screen walks you through Basics, Location, Arrival steps and Publish.

  1. From the Dashboard or Places, choose “New place”. Enter the Place name and Street address, then Continue. The place starts as a draft — nothing is public yet.
  2. In Location, set the exact arrival pin: search with “Find the address”, choose “Use my current location”, or type the latitude and longitude under Advanced. Fine-tune with the nudge buttons, check the Timezone, then choose “Save location”.
  3. In Arrival journeys, answer “How do people arrive?” by adding a journey: Driving, Walking & transit, Taxi or rideshare, Delivery, Step-free access or Custom route. With only one enabled journey, visitors go straight to it.
  4. Choose “Add steps” on a journey, then add each moment on the route with “Add step”: a Step type, a Short title, an optional Instruction and an optional Image from your library. Tick “Critical step” for anything visitors must not miss.
  5. Choose “Preview as a visitor” in the Publish section to see the draft exactly as visitors will. Anything listed under “Before you can publish:” must be fixed first.
  6. Choose Publish and confirm. Visitors following the link immediately see this version.
  7. In Sharing, choose “Copy link” and send it, or put it in your booking confirmations. Anyone with the link sees the published page — no app, no account.

Tip: Starting from scratch is optional: “Use these starter steps” and “Insert a preset” fill in common wording you can edit, and “Duplicate place” copies an existing place.

Photos and annotations

Photograph what the visitor will actually see: the parking bay, the right door, the reception desk.

  1. Open Images and choose a Photo: JPEG, PNG or WebP, up to 10 MB.
  2. Fill in “What does it show?” — for example “Side entrance with the blue door, viewed from the car park”. This is what screen-reader visitors follow. Then choose “Upload image”.
  3. Every upload is re-encoded, resized and stripped of metadata, including GPS location, before anyone sees it.
  4. Choose Annotate on an image and add markers: “Add arrow”, “Add circle”, “Add box”, “Add label” or “Add blur area”. Drag a marker, or select it and use the arrow buttons. Up to 12 markers per image; labels hold up to 60 characters.
  5. Choose “Save markers”. Markers are an overlay — the photo itself is never altered.
  6. Attach the photo to a step with the step’s Image field, then publish so visitors see it.

Tip: Blur hides an area from visitors’ view, but it is not a true redaction — the original pixels are still in the image file. If a detail (a licence plate, a face) must be gone for good, blur or crop it in your camera app before uploading.

Keep it current

Visitors only ever see the published version. Notices and contact details are the exceptions: they go live the moment you save them.

  1. For a temporary condition — a closed entrance, roadworks, a full car park — open Notices and fill in “Add a notice”: Severity (Info, Warning or Critical), Who sees it (all visitors or one journey), Title and Message, plus optional Starts and Ends times in the place’s own timezone. Choose “Add notice”.
  2. Notices appear on the visitor page immediately and expire on their own — no republishing. “Switch off now” hides one early.
  3. Everything else — basics, location, journeys, steps, photos, translations, branding and the event window — is a draft. Editing never changes the live page.
  4. When the draft is ready, choose “Publish new version”. Every published version is kept in the Publication history.
  5. Published something by mistake? Choose “Roll back to v…” next to an earlier version. Its content becomes live again as a new version; nothing is deleted.
  6. Every so often, walk the route and then choose “Directions are still correct” in Freshness. Visitors see the new verification date. Publishing never refreshes it.

Tip: Places that have gone too long without a check show “Review due” in Places. Reminder emails (at most one per place per month) go to your Notifications destinations — turn them off under Freshness reminders in Your profile.

Contact buttons and help contact

Two ways for a visitor to reach a person. Both go live as soon as you save — no republish needed.

  1. On the place screen, open Contact buttons. You can add up to 4 buttons, which stay visible near the top of the visitor page.
  2. For each button, set a Label (Reception, Security, Front desk…), choose what it Opens — “Phone call” or “WhatsApp chat” — and enter the Number (with country code).
  3. Numbers must be in international format with the country code, for example +44 20 7946 0018. Visitors’ phones may be roaming, so local formats are refused.
  4. Choose “Save contact buttons”. To remove a button, clear its label and number and save.
  5. In Help contact, write a “Contact line for visitors in trouble” (up to 300 characters), such as “Call reception on +44 20 7946 0018 (8am–6pm)”, and choose “Save contact”.
  6. Visitors see the help contact line only after they tap “Need help” — it is never shown on the page itself.

QR codes and printable signs

Put the link where visitors already look: the gate, the door, the booking letter.

  1. On the place screen, go to Sharing and find “Signs & QR codes”.
  2. Choose “Printable sign” for a ready-to-print sign with the QR code, the link and a short code, then “Print / Save as PDF”.
  3. Need the bare code for your own design? Download “QR (SVG)” or “QR (PNG)”.
  4. Under “Route-specific signs”, each journey has its own Sign, SVG and PNG — for example a delivery-entrance sign that opens the delivery route.
  5. Signs use the place’s permanent link, so renaming the place or adding a custom link never breaks a printed sign. You can print before publishing; scans show “not available” until the place is published.
  6. Each sign carries a short code that the arrival page also shows. If a sign might have been swapped or faked, choose “Rotate code” — old signs stop matching, so replace them. This helps visitors spot stale signs; it is not tamper-proof security.

Languages, offline, embed, branding and event mode

Smaller features that make an arrival page work for more visitors.

Languages

Under Basics, choose “Add languages for the visitor page”. Enter a Language tag (such as fr or pt-BR) or pick a suggested language, choose “Start translating”, translate the place, routes and steps, then “Save this language”.

Anything you leave empty falls back to the original language, so a half-finished translation never shows gaps. Translations are draft content — publish to make them live. Visitors get their language automatically or through the page’s language switcher.

Offline

Nothing to set up. Once a visitor has opened an arrival page on their phone, it re-opens without signal — in a basement car park, say — showing the directions as they last loaded, with a banner saying so. A page the visitor never opened cannot be shown offline.

Embed on your website

Once a place is published, Sharing shows “Embed on your own website”: a short code snippet that puts a “how to find us” card on your site, linking to the arrival page.

Branding

Owners and admins can open Branding, choose an Accent colour, upload a logo with “Upload logo”, and choose “Save branding”. Branding is published content: each place shows it after its next publish.

Event mode

For a one-off event (an open day, a conference), set Starts and Ends in the place’s Event window, in the place’s own time, then “Save event window” and publish. Visitors get an “Add to calendar” link while it runs; after it ends search engines drop the page, but the link never breaks. Clear both fields to turn event mode off.

Payment pages

Publish “how to pay us” once and share one link instead of pasting account numbers into every invoice. Proezi never processes, holds or moves money — payers pay you directly through their own bank or payment app.

  1. Open Payments and choose “New payment page”. Give it a Page name (payers see it as the title) and choose Continue. Owners and admins create and edit payment pages; editors can view them.
  2. In Payment methods, choose “+ Add payment method”, pick the Kind — bank accounts and rails such as SEPA, UK Faster Payments, SWIFT, US, Canadian, Australian, Indian, Japanese, Chinese and Mexican bank accounts, PIX, PayID, UPI or PayPal — and write a Caption for payers.
  3. Fill in the details and choose “Save methods”. Details are validated before they are saved — for example, the IBAN checksum and length for its country.
  4. Optional: in Payment purposes, add up to 8 purposes, each with a Name and an optional Reference, then “Save purposes”. Payers pick what they are paying for and are shown a reference to put in the payment note, so you can match each payment. On UPI the reference is filled in as the transaction note.
  5. In Publish, choose Publish and confirm. Payers see the details immediately; payment pages are never listed in search engines, and earlier versions can be rolled back.
  6. In Sharing, copy the link or use the QR code, or choose “Make a printable “scan to pay” sign” for invoices, counters and donation boxes.

Tip: Payment purposes and method changes reach payers only after you publish again.

Business identity page

One link that shows who you are: registrations, tax IDs and company numbers as clean, copyable cards.

  1. Open Business. Owners and admins edit the profile; editors can view it.
  2. Enter the Registered legal name exactly as on your registration certificate, plus an optional Registered address and Website.
  3. Choose “+ Add identity record”, pick the Country / register, write a Caption for readers and enter the numbers (GSTIN, EIN, VAT, ABN…). Choose “Save profile”.
  4. Numbers are format-checked against their public check digits only. Proezi never looks them up in government registries, and the published page says so — a passing check means the number is well-formed, not that it is registered to you.
  5. Choose Publish to create your /biz/… link. Business pages are never listed in search engines.
  6. In Sharing, copy the link or use the QR code, or choose “Make a printable “verify us” sign”.

Team and roles

Every workspace has exactly one Owner. Proezi checks your role on the server for every change — a hidden button is never the only protection.

  1. Owners and admins open Team & Settings and fill in “Invite someone”: the person’s Google email and a Role. Choose “Create invitation”.
  2. Send the one-time invitation link you are shown. They sign in with that Google email and accept it. Invitations expire after 7 days.
  3. Owner — everything, including transferring ownership. Admin — everything except ownership: the team, branding and notifications, archiving places, payment pages and the business profile.
  4. Editor — creates, edits and publishes places, journeys, steps, images, notices and signs, and can view (not change) payment pages and the business profile. Viewer — sees places and analytics but cannot change anything.
  5. Change a member’s role from the list, or remove them with “Remove member” — they lose access immediately.
  6. To hand the workspace over, the Owner chooses “Transfer ownership”. The new owner takes over and you become an admin.

Analytics

Numbers first: how visitors use your arrival pages, counted anonymously.

  1. Open Analytics and pick a place. You see Page loads, Route picks, Map opens, Arrival taps, Need help and Feedback, plus “Where is the friction?” — the reasons visitors gave when the directions did not get them there.
  2. Proezi counts page loads, never people. There is no cross-site tracking, no advertising identifier and no visitor profile, and visitor IP addresses are not stored.
  3. “Arrival taps” is what visitors tell us — Proezi cannot confirm that anyone physically arrived.
  4. Counts update every few minutes, days follow the place’s timezone, and raw counts are pruned after 180 days — only daily totals remain.

Frequently asked questions

Do visitors need an account or an app?

No. Visitors open the link in their phone’s browser — no app to install, no account, no sign-in. Only the people who manage pages sign in.

Is Proezi free?

Proezi is free during early access. See Pricing for the details.

Does Proezi handle payments?

No, never. A payment page only publishes your payment details. Payers pay you directly through their own bank or payment app; Proezi never processes, holds or moves the money.

Why didn’t my edit show on the live page?

Visitors see the last published version, so your edits are a draft until you choose “Publish new version” on the place screen (see Keep it current). Notices, contact buttons and the help contact line are the exceptions — they go live as soon as you save them.

What happens if I archive a place? Can I undo it?

Archiving (“Archive this place” under Status & safety) moves the place to your archived list. It never deletes anything and does not take the published page offline by itself. “Restore to active list” brings it back as a draft.

To stop visitors seeing the page, choose “Take published version offline” — the snapshot is kept, so publishing again brings it back. To undo a publish, roll back to an earlier version.

Can I use my own domain?

Not yet. Links are on proezi.com for now. Custom domains are on the roadmap.

Are emails sent when someone arrives?

Owners and admins can add alert destinations under Notifications: each enabled address gets one email when a visitor taps “I’ve arrived” or “Need help”, for the whole workspace or one place.

Email delivery is still being switched on. Until it is, alerts are queued rather than lost — System status shows the current state of email notifications.

What data do you collect about visitors?

Very little: anonymous counts of page loads and button taps, and any feedback a visitor chooses to send. No visitor accounts, no profiles, no advertising or third-party analytics scripts, and no stored visitor IP addresses. The Privacy Policy has the full detail.

How do I delete my workspace or account?

Open Your profile and, under Delete account, choose “Request account deletion”. It covers your account, the workspaces you own and your personal data. We email you to confirm before anything is removed.

There is no separate button to delete a single workspace. For that, or anything else, email support@proezi.com.

Who can see my unpublished drafts?

Members of your workspace — any role, including viewers — when signed in. Visitors never see drafts: they only ever see the published version, and a place that has never been published shows a plain “not found” page.

Is my data secure?

Every change is checked on the server against your workspace and role, workspaces are kept separate, uploads are cleaned of metadata, and there is no Proezi password to steal. Read Security for the controls in place today.

Where can I report abuse?

If a Proezi page breaks the Acceptable Use Policy — a fake payment page, say — email support@proezi.com with the link.
